How to use these templates

Download the template closest to your process — every file is plain Markdown, so it opens in Word, Google Docs, Notion, or any text editor. Work through it top to bottom and replace each [BRACKETED PLACEHOLDER] with your own IDs, names, thresholds, and system references; the pre-filled example steps show the level of detail to aim for, then get overwritten with your real procedure. When the draft is done, hand it to the person who actually performs the task and have them walk through it step by step — every SOP reads fine to the person who wrote it, and the task owner will catch the missing step in minutes. Fix what they find, then get the named approver to sign off. Finally, put the document under version control: assign the SOP ID, set version 1.0 and an effective date, log every future change in the revision-history table, and calendar the review date so the document stays true to the process. An SOP nobody maintains is worse than none — people follow it into mistakes.

What every SOP template includes

  • Document-control header — SOP ID, version, effective date, owner, approver, and next review date, so auditors and staff always know which version is current
  • Purpose and scope — what the procedure guarantees, exactly who and where it applies, and what it explicitly excludes
